APPOINTMENT POLICIES
Payments
- Accepted forms: Cash, Check, Credit, Debit, Apple Pay
- Gratuities for Massage: Cash or Venmo only

Payment Policies
- Payment is due at time of service.
- A valid credit card must be kept on file to reserve all appointments.
- Returned checks: $35 fee charged to the card on file.
Gift Certificates & Series
- Gift certificates: transferable, not refundable, not redeemable for cash, not valid toward another certificate/series. Expire 9 years from purchase.
- Series: must be paid in full at the first appointment. Expire 1 year from purchase. Unused sessions from an expired series may be reactivated if you buy a new series within 1 year of expiration.
Arriving for your Appointment
- Arrive 10 minutes early to ensure you receive your full session time
- New clients without a completed intake form: arrive 15–20 minutes early
- All clients must have a completed clinical intake form before first appointment. This will be emailed + texted to you in advance.
Lateness
- If you arrive late, we will do our best to provide your full session, but cannot extend into the next client’s time. You are responsible for full payment of the session you booked.
Accessibility & Transportation
- Accessibility: Our center is located up a flight of stairs. If you need ADA accommodations, please contact us before booking.
- Transportation: If driving, allow at least 30 minutes to find parking. We recommend public transportation when possible – see lateness policy above. Here are directions to our center.
Cancellation, Rescheduling + No Show Policy
- Notice required: 24 hours to cancel, reschedule, or shorten an appointment (call, email, or text)
- Late cancellations / no-shows: full fee charged to the card on file
Exceptions (make-up session offered):
- Illness (make-up valid 2 weeks)
- Prenatal client: labor or obstetric emergency (make-up valid 1 year)
- Birth workers & dads/partners: client or partner in labor (make-up valid 2 weeks; limit two annually for birth workers)
- Life-or-death emergency, hospitalization, or death of a loved one (make-up valid 1 year)

CONSULTATION POLICIES: HERBAL, BIRTH, BUSINESS
The appointment policies above also apply to our herbal medicine consultations, private birth services (including birth consults, lactation counseling, and private childbirth education), and wellness business consulting.
There are a few additional policies specific to these types of appointments detailed here.
Herbal Cancellation and Payment Policies
Same as appointment policies above except:
- Deposit for Initial Consult: 50% deposit due for 2-hour Initial Consultation only, remainder due at time of appointment
- Cancellation Notice for Initial Consult: 72 hours (3 days) notice required to cancel or reschedule 2-hour Initial Consultation only (50% deposit will be retained for less than 72 hours notice)
- 24 hours cancellation still applies to all follow-ups
- No make-up sessions for illness (simply contact us to change your appointment to virtual)
- Make-up sessions still apply for labor and life-or-death emergencies
- Virtual appointments will be charged at the time of your appointment to credit card on file
Birth & Wellness Business Cancellation and Payment Policies
Same as appointment policies above except:
- Payments: virtual or in-home appointments will be charged at the time of your appointment to your credit card on file
- Cancellations:
- No make-up sessions for illness (simply contact us to change your appointment to virtual)
- Make-up sessions still apply for lactation counseling visits cancelled due to illness as well as for any service cancelled due to labor and life-or-death emergencies
CANCELLATION FAQ
We know that life happens — children get sick, subways run late, babies decide to be born, and unexpected emergencies arise. At the same time, our therapists reserve their schedules just for you, and last-minute changes directly impact their livelihood and our ability to serve the community.

This FAQ below is designed to explain why our policies are structured the way they are and to answer common questions about special situations. Our goal is to balance compassion and flexibility with fairness to our staff and the sustainability of our small business. We hope this helps you understand the reasoning behind our boundaries and feel confident in how we’ll support you if something unexpected comes up.
If I can’t make it last minute, can I send someone else in my place to avoid the charge?
Yes! Simply contact our front desk with the details of the person who will be coming in your place.
What if I go into labor or have an obstetric emergency and need to cancel last minute?
If you late cancel due to going into labor or experiencing an obstetric emergency requiring immediate care or hospitalization (including pregnancy loss), we’ll provide you with a make-up session valid for one year so you can return when you’re ready. The missed appointment will be processed as a late cancellation, and the make-up will be issued to your account with us once payment is completed.
Please contact us as soon as possible via email, call, or text. If communication isn’t possible causing you to “no show” (e.g., sudden onset fast labor), we’ll still honor the make-up session with documentation.
What if I need to late cancel because my partner went into labor, or I’m a birth worker (midwife, doula, OB/GYN) called to a birth?
We provide a make-up session valid for two weeks in these cases. The cancellation fee will be processed, and the make-up added to your account. Birth workers may use this accommodation up to two times per year.
What if I (or my child) become ill, or I have another emergency?
- Illness (you or a dependent child): You’ll receive a make-up session valid for two weeks.
- Life-or-death emergencies or loss of a loved one: You’ll receive a make-up session valid for one year.
The missed appointment will be processed as a late cancellation, and the make-up will be issued after payment. Please notify us as soon as possible (email, call, or text). In case of “no show” due to an emergency, documentation may be requested in order to issue a make-up.
What if I can’t make it due to something else out of my control?
We understand how frustrating it is to miss a paid session because of circumstances like work or personal/family emergencies, last-minute childcare cancellations, transit/traffic/parking problems, or similar events.
However, we cannot provide make-up sessions or waive cancellation fees for these situations. When you reserve time, our therapists commit their schedule to you and an unpaid cancellation impacts their livelihood. In fairness to our staff, clients are financially responsible for the sessions they reserved, even when circumstances are beyond their control. Because we provide exceptions for illness, childbirth, and life or death emergency, we are unable to make additional exceptions beyond these while still remaining financially sustainable as an independently-owned small business.
What if I can’t make it due to a winter storm or inclement weather?
We remain open during inclement weather unless the city issues a travel ban or shuts down public transportation. Our 24-hour cancellation policy remains in effect.
If a storm is forecast, please cancel at least 24 hours in advance if you think travel will be an issue for you. Exceptions are only made in the event of a dramatic and unanticipated weather or natural-disaster event.
What if I late cancel and intended to pay with a gift certificate or series?
You’ll have the option to apply the late cancellation fee to your gift certificate, series, or credit card on file. By default, the card on file will be charged, but if you prefer another method, please notify our front desk. If a make-up session is issued, it will have been covered by whichever payment method was used.
What if I arrive late to my appointment — will I still be charged the full fee?
We’ll do our best to give you as much of your scheduled time as possible, but we cannot shorten the next client’s session to accommodate lateness. You are still responsible for the full cost of your reserved appointment.
To ensure you get the full time you booked, please arrive at least 10 minutes early (15–20 minutes if you’re a new client who has not completed intake forms in advance). If you arrive too close to your start time, we cannot always guarantee your full session.
What if I dispute the cancellation fee with my credit card company, yell at staff, or threaten to leave a negative review to try to get out of the charge?
If you have concerns about a cancellation charge, please contact us directly and ask to be put in touch with a manager. We are always open to resolving truly extenuating situations.
If a client disputes a cancellation charge with their credit card company instead of contacting us, we will provide documentation of their agreement to our policies to our merchant processor. In most cases, the chargeback will be reversed once we provide documentation of your agreement to the policies. Clients who initiate chargebacks will no longer be eligible for future bookings or a make-up session.
We also cannot continue to serve clients who bully or threaten our staff to avoid policies. We are committed to maintaining a respectful, healing environment, and we expect the same respect in return.
Make-up Sessions
Why are make-up sessions only valid for a limited period of time?
Massage therapy is time- and energy-intensive one-on-one work. When you book a session, you assume responsibility for that timeslot — it prevents others from booking and represents a significant portion of your therapist’s daily income.
Offering make-up sessions is a courtesy we extend for specific emergencies including illness. Even when we issue one, our business absorbs a financial loss, as we pay two staff members full compensation for a single paid session. To remain fair to our team and financially stable as an independently-owned small business, make-up sessions must have a time limit.
Can I extend my make-up session if I can’t use it within the original window?
If an extenuating circumstance (e.g., extended illness) prevents you from using your make-up session before it expires, please contact us before it expires to request an extension. Once a make-up has expired, we cannot extend it.
What if my preferred therapist isn’t available before my make-up expires?
Make-up sessions can be booked with any of our therapists. If your preferred provider has no availability before expiration, you can:
- Book with another therapist,
- Join the waitlist in case your provider gets an opening,
- Gift your make-up session to someone else, or
- Let it go unused.
We cannot extend make-ups simply because a client prefers a particular therapist or available options for bookings don’t match their schedule. The only exception: if our schedule is completely full with no openings, we will extend your make-up.
Can I gift my make-up session to someone else?
Yes, make-up sessions are transferable. They will remain under your name, with the same expiration date. The recipient simply needs to provide your name and mention your make-up session when booking and/or at checkout. Make-up sessions are transferable but non-refundable.
What if I can’t use my make-up session because I don’t live locally or only needed it for a special occasion?
In this case, you are welcome to gift or transfer your make-up session to someone else. The expiration date will remain the same.
Changing Appointments
Can I move my appointment to another time on the same day with less than 24 hours’ notice?
Our cancellation policy requires 24 hours’ notice for changes. However, if you request to come earlier on the same day and we can accommodate it with your same therapist, we’ll make the switch without penalty (since the later spot still has a chance to be rebooked).
We cannot:
- Move your session later in the day, or
- Switch you to another therapist’s schedule.
If you cancel instead, the usual cancellation fee applies. If you do want to book a later appointment with less than 24 hours’ notice, you would be responsible for both the original and new appointment.
What if I would like to make my appointment longer, shorter or change the service with less than 24 hours’ notice?
Extending the session: Allowed anytime, pending availability.
Shortening the session: You remain responsible for the full time you reserved.
Changing service type (same length): Allowed if your therapist offers the service and we have time to set up properly. Example: switching from CBD massage to holistic massage is fine; switching to Thai massage may or may not be possible if setup or provider training doesn’t allow.
